Sharing Workbooks

Typically you will create workbooks that you want to make available for others to use. There are three ways in which you can do this and the method you choose depends largely upon the context and role that you are in.

1. Sharing with an individual or small number of colleagues

If you want to make a workbook available to just a small number of people, typically colleagues, you can do this by selecting the workbook in your Resource list (clicking the icon to the left of the title) and selecting I want to .... > Share.

In the Share modal that opens over the page select I would like to share this .... > With people and search for the individual(s) with whom you are wanting to share. (For help on sharing with people go to the Help entry for With others under Sharing)

You can then choose the permissions you would like the recipient(s) to have:

  • If you do not choose any permissions the recipient will only be able to open the workbook in response mode and create an Asset from it.
  • If you select Allow recipients to leave a comment, they will be able to view the workbook and provide you with some feedback.
  • If you select Allow recipients to take a copy, they will be able to copy your workbook and then edit their copy within the workbook builder.
  • If you select Collaboration, they will become co-owners of the workbook and you can then continue to build and edit it together. You will all have exactly the same ownership permissions over the Resource. [NOTE: Once collaboration has been accepted it cannot be removed - all collaborators have full ownership permissions and cannot remove other collaborators]

For all permissions except Collaboration, you can also select View for a specified amount of time to set a time limit on the availability of the workbook to the recipients.

 

2. Sharing via a URL

If you would like to embed a link to your workbook in a website, course site, or other electronic medium, you can do this by selecting the workbook in your Resource list (clicking the icon to the left of the title) and selecting I want to .... > Share.

In the Share modal that opens over the page go to the panel I would like to share this .... > With everyone who receives the following link and click on Copy this URL. The URL for the workbook is now on your clipboard and ready to be pasted where needed.

Anyone accessing this URL will be asked to sign into their PebblePad account (if they are not already signed in) and will then be able to complete the workbook and save their response as an Asset in their Store.

 

3. Sharing with a cohort of learners

If you want to make your workbook available to a larger group of users, typically a cohort of students or members, you should always do this via an ATLAS Workspace.

ATLAS is the Active Teaching, Learning, and Assessment Space and is where you can set up Workspaces for groups of learners and manage a wide variety of teaching, learning and assessment activities. ATLAS includes many tools for managing large cohorts, distributing resources, receiving and viewing submitted work, and managing assessors and the full feedback and assessment process.

To add a workbook to ATLAS you need to go to the Resource Page in your ATLAS Workspace and select the option to Add a Resource. This will allow you to select a workbook directly from your Resource list. TIP!

You can only add workbooks that you own to an ATLAS Workspace. You cannot add workbooks that have been shared with you, unless you have taken a copy or have Collaboration permissions.
